Engage with™ Program Coordinator

The Program Coordinator (PC) for Engage with® Skills Training Programs (Engage with) is a dual role that includes responsibility for coordination of Engage with trainings, contract deliverables and marketing efforts as well as responsibility for providing administrative support for the day-to-day operations of the Engage with brand. Key functions include scheduling and tracking Engage with trainings, working with the Chief Strategy Officer (CSO) in marketing efforts and providing administrative support to the Training Director (TD) and the Medical Director (MD). The PC is responsible for ensuring coordination and effective management of multiple parallel and sequential tasks as well as paying close attention to detail. The position will require working knowledge of the Engage with content and business objectives such that the PC can communicate effectively about the Engage with brand with a variety of stakeholders, clients, staff, and contractors.

Duties and Responsibilities

  • Work with the Director of Training (TD) to assist in ensuring the automated processes for Engage with training schedules and teaching assignments are working properly. This includes inputting new schedules into Salesforce, communicating with assigned trainer(s) and confirming attendee evaluation data migrates to the Salesforce data base properly.
  • Work with the (CSO) to ensure promotional materials are available for conferences, registration and travel needs are addressed in a timely and accurate manner, and monitoring invoicing/payment processes to ensure Engage with invoices and bills are paid in a timely manner.
  • Assist CSTs and TD with coordinating training sessions, including communication with participants regarding concerns/issues before, during and after trainings.
  • Provide back-up technical support in the event a trainer experiences a technological failure during a training.
  • Work with SalesForce data team to ensure reports are generated in a timely fashion and provided to corresponding Engage with team members as per established policies and procedures.
  • Assist CSO in sales research and salesforce lead management.
  • Assist TD with updating training materials as needed, including updating PowerPoint slides, communicating with our virtual world partner, Sinespace, and assuring training scripts are being accurately imported to the virtual world
  • Participate in tracking, reporting, and analyzing program evaluations from attendees under the direction of TD
  • Track and maintain a dynamic log of grant and/or contract deliverables to ensure deliverables are met
  • Provide administrative support to the Medical Director (MD). This includes assisting with grant application submissions, coordinating meeting schedules, travel arrangements, Board and Executive team meeting minutes and communications.
  • Other duties as assigned


  • Associate of Arts Degree or higher
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PPT), Acrobat and other commonly used work processing, data management, presentation and design software
  • Excellent oral and written communication skills, including strong proofreading ability
  • Superior organization, tracking and reporting skills
  • Ability to work independently and meet deadlines
  • Proficiency in coordinating and managing multiple projects with close attention to detail
  • Strong interpersonal skills and ability to work in a team environment

Position Classification

Travel Requirement

Ability to travel within their own state as well as to and within other states for business development and attendance/support at conferences, as needed.
